Getting started
How RetailPhone works
The four building blocks of your phone system and how they fit together.
Your phone system is made of four things. Once you know them, every screen in the app makes sense.
| Building block | What it is | Example |
|---|---|---|
| Number | A phone number customers call. | (720) 555-0142 |
| Menu | The "press 1 for hours" choices a caller hears. | Main menu |
| Phrase | A message spoken to the caller. You type it; RetailPhone speaks it. | "We're open noon to midnight, seven days a week." |
| Line | A phone that rings, with its own voicemail. | Front counter |
How a call flows
- A customer calls your number.
- The number sends the call to a menu, or straight to a line if you prefer.
- The menu plays its greeting phrase, then waits for a key.
- Each key either plays another phrase, rings a line, or opens another menu.
- If a line isn't answered in time, the caller can leave a voicemail.

The Overview screen draws this picture for your own setup.
Organizations and locations
Your organization is your business. Each location is one shop, with its own numbers, lines, menus, phrases and voicemail. Billing and team members belong to the organization, so you manage them once for everywhere.
A sensible order to build in
Phrases first, then lines, then the menu that uses them, then point the number at the menu. A menu can only offer phrases and lines that already exist.
